For organizations that have users spread over geographic locations, the Gryphon ONE Client Portal offers Offices. Offices provide a logical structure to manage Office Administrator assignments as well as Agent profiles. It's beneficial for report structuring when reviewing office call performance. Additionally, it provides access to 800 Access Numbers for organizations that utilize that service from Gryphon AI.
The Gryphon ONE Client Portal stores the details of each office, such as the Address, telephone numbers. And Office Code (if used). Additionally, the 800 access number is assigned at the Office level as well as the Status.
How to Create, Delete, or Take an Office Offline
Currently, the creation, removal, and status of offices will require assistance from the Gryphon AI Customer Care team. Please reach out to the Gryphon AI Care team to request these types of actions.
Note: Offices set to Offline status will prevent all agents assigned to that office from utilizing the 800 Access service.
Should the need arise to create a new office, the following information will be needed to complete the request:

Move Agents to a Different Office
Client Administrators are authorized to perform interoffice moves for Agent profiles. Office Administrators and Agents won’t have enough access to the system to perform office moves.
To perform the move, log in using a Client Administrator account, then search for the profile of the Agent moving to the new office.
On the Agents screen, locate the Office drop-down menu and select the Agent’s new office assignment from the menu.
Select Save Changes located in the action menu at the bottom of the screen.
Move Administrator to a Different Office
Like Agents, Office Administrators can also be transferred between offices.
To perform the move, log in using a Client Administrator account, then search for the profile of the Administrator moving to the new office.
On the Administrator's screen, locate the blue link labeled Move Administrator; it should be to the right of the Status menu option. Once it is located, select the link.
You will be taken to a new screen that lists all the available Offices the Administrator can be moved to. Locate and select the new office. On the confirmation screen, verify that the Current Office and New Office are correct.
When ready, select Save Changes at the bottom of the screen.
Note: A copy of the administrator profile will be made in the new office, and the existing administrator will be set In-Active.
Keep In Mind
Client Administrators aren’t assigned to Offices.
Depending on the client configuration, there may be other Administrator types set up in the system. Their configuration will depend on whether Office moves are an available option.
