User profile management often begins with the need to find the user before any further actions can be performed. The Gryphon ONE Client Portal offers several ways to search for and locate Agent and Administrator profiles within the system. We’ll show you how!
Search For Any Profile Within a Client
The least restrictive search method available can be found by navigating to Client, then selecting either Admin Search or Agent Search from the sub-menu located at the top of the screen.
Admin Search will assist in locating Client and Office Administrator profiles that exist in the client.
Agent Search will assist in locating Agent profiles that exist in the client.
Each search interface offers the same options and experience for the user performing the search.
Note: By default, the system will search based on the Last Name of the user profile being located. Other filter options exist, which will be discussed in further detail below.
Enter the Last Name of the user, then click the Search button.
Matching results will appear in the grid below.
Search for Profiles Based on Office Assignment
Another convenient method to search for user profiles when their Office assignment is known is to navigate to Agents > Search or Administrators > Search from the top menu bar.
Note: For users with access to multiple offices, they will be prompted to select an Office at this time.
Similar to the Client search discussed in the previous section, the user will be presented with the Search screen. In this case, however, the searches will be limited to Agent or Administrator accounts assigned to the selected office (or the office the user performing the search is assigned to).
Note: By default, the system will search based on the Last Name of the user profile being located. Other options exist, which will be discussed in further detail below.
Enter the Last Name of the user, then click the Search button.
Matching results will appear in the grid below.
The Search Screen and Using Search Filters
Review of Available Fields and Options
- Search For – Text box where the search term will be entered, for example, a user’s Last Name
- (top) By – Drop-down menu to specify the data to apply the search term to.
- (bottom) By - Drop-down menu to apply an additional filter to the search to reduce the number of results
- Search – Select this button to begin the search.
- Reset – Clears all search criteria and parameters
- Include terminated agents/administrators – Check box that toggles the option to include profiles with Terminated Status
- Download – Used to download the search results in a CSV file
Performing Basic Searches
Enter the last name of the agent or administrator you want to access. Select Search while leaving all other options set to their default.
Select the linked result of the profile within the Number column on the left.
Performing Advanced Searches
Utilize the By dropdown menu to adjust the search parameters. Available options in the (top) By menu include searching by Last Name (default), First Name, Number, and ID. Results will be returned that match the selected search parameter.
Searching by Number returns results based on the user’s PIN or ANI assigned within their active Access Method. In other words, if the user’s phone number is known, it can be entered as the search term; similarly, the 800 access PIN can also be entered as the search term, and matched results will be returned.
Searching by ID returns results that match the agent’s User ID on their profile.
Note: The available criteria will vary depending on whether the search is conducted on Agent profiles versus Administrator profiles.
Additional Filtering
If additional filtering of the results is necessary, the (bottom) By drop-down menu offers additional filtering. These options will vary slightly from the (top) By menu. A typical use case occurs when searching for a profile that belongs to someone with a common last name, for instance, Smith.
In this case, we can filter by First Name. When First Name is selected from the (bottom) By drop-down menu, the alphabet will appear below the Search For box.
Select the letter that corresponds to the first name of the profile that is trying to be located. This will filter on names that match the additional filter criteria, making it easier to locate the user profile.
Keep In Mind
If the expected user profile is not appearing in the results, try toggling the Include terminated Agents or Include terminated administrators check box located to the right of the Reset button. By default, Agents and Administrators with the Terminated Status do not appear in search results.
